Overview

Writing continues to be one of the most important skills in a business environment to communicate, to sell, to market, to propose, to explain, and to report. Written documents are still the primary means of formal communication, whether they are delivered electronically or on paper. Therefore, writing ability is a core business skill and writing well can have a positive impact on both an organization and an individual’s career.

This course is of 12 weeks duration which covers all important aspects of business writing. It teaches participants how to effectively plan written communication. They will learn how write clear, concise and effective documents. They will know how to structure emails, letters, memos, reports, proposals and presentations. Participants also learn basic business writing techniques such as how to use active voice and maintain consistency. This course also provides an understanding of grammar and punctuation.

MODULE 1


Introduction to Business Writing

On successful completion of this module, participants will be able to:

  • Outline the importance and impact of business writing in your organization
  • Recognizing the principles of effective writing
  • Describe and avoid common pitfalls in business writing

MODULE 2


Spelling and Sentence Structure

On successful completion of this module, participants will be able to:

  • Understand the basic rules of spelling
  • Identify commonly misspelled words
  • Identify and use the correct spelling for plurals and homophones such as ‘their, there and they’re
  • Describe basic sentence structure
  • Correctly identify parts of sentences
  • Understand basic sentence terminology

MODULE 3


Parts of Speech

On successful completion of this module, participants will be able to:

  • Identify the different parts of speech
  • Describe the function of the difference parts of speech
  • Outline the correct usage of the different parts of speech
  • Understand the difference between a phrase and a clause
  • Describe the elements of a clause
  • Describe the elements of a phrase

MODULE 4


Punctuation

On successful completion of this module, participants will be able to:

  • Identify different punctuation marks and their use
  • Describe the role of punctuation in a text
  • Utilize punctuation marks correctly

MODULE 5


Writing Sentences and Paragraphs

On successful completion of this module, participants will be able to:

  • Identify common writing errors in writing sentences and paragraphs
  • Recognise paragraph and topic sentences
  • Vary sentences for clarity, purpose and effect
  • Utilize best practice that make it easier to read and understand sentences and paragraphs
  • Outline best practice for the use of the active and passive voice
  • Describe best practice when using technical terms in a document
  • Write clear, concise and effective sentences and paragraphs

MODULE 6


Capitalization

On successful completion of this module, participants will be able to:

  • Outline when a word should be capitalized
  • Describe the rules for capitalizing words
  • Outline different conventions of capitalization

MODULE 7


Numerals

On successful completion of this module, participants will be able to:

  • Describe when to spell out a quantity and when to use a numeral
  • Outline how to treat common numerical expressions
  • Understand the conventions for punctuating numerals
  • Write and correctly format specific or exact numbers
  • Correctly express units of measurement

MODULE 8


Business Writing Process

On successful completion of this module, participants will be able to:

  • Discuss and outline the business writing process
  • Successfully define the purpose of a document, analyze the audience needs, select the right medium and gather and organize the appropriate information required
  • Effectively review and edit content, and rewrite for conciseness and clarity
  • Use an effective layout for a clean professional look
  • Proofread and correct errors, spelling and mechanical mistakes
  • Deliver message using the chosen medium.

Components of an Effective Document

On successful completion of this module, participants will be able to:

  • Critically discuss the key components of an effective document
  • Asses a document to make sure it is clear, correct, concise and complete
  • Adopt best practice in terms of tone and style to produce an effective document
  • Produce documents that are convincing and courteous, politically correct and free from discriminatory language

Writing Letters, Memos and Emails

  • Describe different types of letters and utilize the appropriate techniques for writing each type of letter

  • Outline and describe the parts of a memo and correctly format a memo
  • Discuss why e-mail etiquette is important in a business environment
  • Discuss the do’s and don’ts of business emails
  • Use best practice when replying to or composing business emails

Writing Proposals
